The policies listed below have been carefully developed to protect both you (The Client) and us. (Graphicsbyvana LLC.). All customers are advised to carefully read the terms of service prior to booking a service. All terms of service are accepted by you (The client) when booking.

Payments:
All prices listed by GraphicsbyVana are subject to change at any time without prior notice. Any price changes will apply only to future purchases and will not affect orders that have already been paid for.
Full payment is required before any work on a project will begin, unless otherwise agreed upon in writing. Turnaround time does not begin until both of the following have been received:
  • Full payment.
  • All required project materials (including, but not limited to, images, videos, logos, brand guidelines, fonts, written content, usernames, login information if applicable, and any other requested assets).
Invoices must be paid within 24 hours of being issued unless otherwise stated. If payment is not received within this timeframe, GraphicsbyVana reserves the right to cancel the invoice or remove the client from the schedule.
Clients are required to submit all requested project materials within 24 hours of booking unless otherwise approved. Failure to provide the required materials may delay your project and affect the originally estimated turnaround time.
Beginning 24 hours after booking, a $20 late materials fee may be charged for each additional calendar day that required materials remain outstanding. This fee is intended to compensate for scheduling disruptions and administrative time caused by project delays. GraphicsbyVana reserves the right to waive this fee at its sole discretion.
If a client delays submitting project materials for an extended period, GraphicsbyVana reserves the right to place the project on hold until all required materials have been received. Once materials are submitted, the project will be placed back into the production schedule based on current availability, and the original turnaround time will no longer apply.
No final designs or deliverables will be released until all outstanding balances, fees, or additional charges have been paid in full.
By purchasing any service from GraphicsbyVana, the client acknowledges and agrees to these payment terms.

 

Service Process:

Each service offered by GraphicsbyVana follows its own unique process, timeline, and requirements. Some services include a consultation call as part of the package, while consultation calls are offered as a service that can be booked separately. Please review the description of your selected service carefully before making your purchase so you understand exactly what is included, the project process, the estimated turnaround time, and any client responsibilities.

It is the client's responsibility to read all service descriptions, requirements, pricing, and policies prior to booking. If you are unsure which service best fits your needs, please contact GraphicsbyVana before placing your order.

By purchasing any product or service from Graphics by Vana, you acknowledge that you have read, understood, and agree to abide by all Terms & Conditions, policies, and procedures outlined on this website. Failure to review these policies does not exempt the client from complying with them.

 

Turn-Around Time:

Due to the custom nature of all services provided by GraphicsbyVana, all sales are final. Refunds are not offered for any products or services unless otherwise stated in writing by GraphicsbyVana.

By purchasing a service, the client acknowledges that GraphicsbyVana immediately reserves time in its production schedule, which prevents that time from being booked by another client. As a result, buyer's remorse, a change of mind, a change in business direction, deciding to work with another designer, or no longer needing the service are not valid reasons for a refund.

Clients are encouraged to book their projects well in advance of any deadlines. While GraphicsbyVana provides estimated turnaround times for every service, turnaround times are estimates and may vary depending on current workload, project complexity, revisions, holidays, or unforeseen circumstances. GraphicsbyVana is an independent business, and projects are completed in the order they are received, within the stated timeframe, unless a rush service has been purchased.

If work has already begun or any portion of the project has been completed, the client is paying for the time, creative services, research, planning, and work already invested. Any unfinished concepts, drafts, source files, or remaining deliverables will remain the sole property of GraphicsbyVana and will not be released to the client.

Ownership and usage rights to the final approved design(s) are transferred to the client only after:

  • The project has been completed.

  • All outstanding balances and applicable fees have been paid in full.

Until that time, all concepts, drafts, artwork, layouts, and design files remain the intellectual property of GraphicsbyVana.

Refunds will only be considered if GraphicsbyVana is unable to complete the project due to circumstances solely within GraphicsbyVana's control, such as serious illness, emergency, or other unforeseen events that permanently prevent project completion. In these cases, any refund amount will be determined at the sole discretion of GraphicsbyVana based on the amount of work already completed.

GraphicsbyVana is committed to providing every client with a professional, high-quality experience. If an issue arises during a project, every reasonable effort will be made to resolve the matter through communication, revisions (where applicable), or another mutually agreed-upon solution before any other action is considered.

 

Turn-Around Times:

GraphicsbyVana strives to complete every project as efficiently as possible while maintaining a high standard of quality. Every project is custom-designed, and completion times may vary depending on the complexity of the project, the number of revisions requested, current workload, and the client's response time.

Estimated turnaround times begin only after all of the following have been received:

  • Full payment.

  • All required project materials and information.

  • Any required consultation call has been completed (if applicable).

Business days are Monday through Friday only and do not include weekends or federal or Caribbean holidays.

The estimated turnaround time applies to the initial delivery of your project only. Any requested revisions, client delays, additional requests, or changes made after the initial design has been delivered may extend the overall completion date.

During periods of high order volume, holidays, or unforeseen circumstances, GraphicsbyVana reserves the right to extend the estimated turnaround time by 2–4 additional business days. Clients will be notified whenever possible if a significant delay occurs.

Please review the descriptions of each project for turnaround time.

GraphicsbyVana is not responsible for delays caused by late responses, failure to provide required materials, requested design changes outside the original project scope, or circumstances beyond reasonable control. Such delays may result in the project being rescheduled based on current availability.

 

Design Process:

GraphicsbyVana specializes in creating custom designs based on each client's unique vision and goals. To ensure the best possible outcome, clients are expected to provide a clear direction for their project before work begins.

While creative input and professional recommendations are always provided, GraphicsbyVana is not responsible for developing an entire brand concept or creative direction without client guidance, unless that service has been specifically purchased. Clients should have at least a general idea of their desired style, colors, theme, aesthetic, or overall vision prior to booking.

Please refer to the revisions section under each service or the terms and conditions page. 

Reference images, inspiration photos, mood boards, or examples are strongly encouraged to help communicate your vision. Please note that reference materials are used for inspiration only and will not be copied or replicated exactly. GraphicsbyVana does not recreate or duplicate another designer's work, logo, brand identity, or copyrighted material.

Clients are responsible for providing all required project materials in high quality, including but not limited to:

  • Logos

  • Photos

  • Videos

  • Product images

  • Any additional information requested for the project

Images, videos, or graphics that are blurry, pixelated, low resolution, compressed, or cropped from screenshots may reduce the overall quality of the final design. GraphicsbyVana is not responsible for poor-quality results caused by low-quality assets supplied by the client.

Clients should not submit unnecessary screenshots, duplicate files, unrelated images, or excessive materials that are not intended to be used in the project, as this may delay production.

The client is solely responsible for ensuring that all submitted materials are accurate, complete, properly proofread, and legally authorized for use. This includes checking all spelling, grammar, names, phone numbers, email addresses, website URLs, pricing, and any other written information before submission.

GraphicsbyVana is not liable for errors resulting from incorrect information provided by the client or for copyright, trademark, licensing, or intellectual property issues related to client-supplied content. By submitting project materials, the client confirms that they have the legal right to use all files, images, videos, music, logos, fonts, and other content provided.

To maintain an efficient workflow, GraphicsbyVana reserves the right to request replacement files or additional information if submitted materials do not meet quality standards or are insufficient to complete the project.

 

Revisions:

GraphicsbyVana is committed to ensuring that each client is satisfied with their final project. To help maintain an efficient design process, clients are expected to provide clear, detailed instructions and design preferences before work begins. GraphicsbyVana will make every reasonable effort to bring the client's vision to life based on the information provided.

Revisions are intended for minor adjustments to an existing design and do not include a complete redesign, a new creative direction, additional concepts, or changes that require significant research or recreation of the project.

Examples of revisions include, but are not limited to:

  • Font changes

  • Color changes

  • Text corrections

  • Image or video replacements

  • Element resizing or repositioning

  • Minor layout adjustments

  • Small design refinements

A revision does not include:

  • Requesting an entirely new design or concept.

  • Changing the overall style or aesthetic after the design has been created.

  • Recreating the project from scratch.

  • Major additions that were not included in the original order or project brief.

  • Requests that differ significantly from the information provided in the original inquiry form or consultation.

Revision requests must relate to the original project scope. Any modifications, additions, or design requests that were not included in the original order, consultation, or project brief may be considered additional work and will incur an additional fee.

The following revision limits apply unless otherwise stated in the service description:

  • YouTube Services (including intros, outros, banners, video edits, and branding bundles): Up to 3 revisions included. Additional revisions are $10 each.

  • Business Essentials (including logos, flyers, business cards, branding templates, packaging, and similar services): Up to 3 revisions included. Additional revisions are $10 each.

  • Other Services: Please refer to the individual service description for the number of revisions included, if applicable.

If a client requests changes that require a complete redesign or substantially alter the original concept, GraphicsbyVana reserves the right to classify the request as a new project or redesign. Redesign pricing will be determined based on factors including, but not limited to:

  • The amount of completed work.

  • The extent of the requested changes.

  • The complexity of the redesign.

  • Previous communication and project direction.

  • Whether the redesign is the result of changes requested by the client or an error made by GraphicsbyVana.

GraphicsbyVana reserves the sole right to determine whether a requested change qualifies as a revision or a redesign.

All revision fees and redesign fees must be paid in full before additional work begins.

To help keep projects on schedule, clients are encouraged to submit all revision requests in a single organized message whenever possible. Multiple messages containing separate revision requests may be treated as multiple revisions.

 

Files & Ownership:

All completed design projects are delivered digitally via email or another file-sharing method chosen by GraphicsbyVana.

File formats provided vary depending on the service purchased and may include, but are not limited to:

  • Logo Designs: PNG, JPG, and PDF files are included as standard.

  • Business Essentials (including flyers, business cards, branding templates, social media graphics, packaging, and similar services): High-resolution JPG and/or PNG files unless otherwise specified.

  • Website Graphics: PNG and JPG files unless another format has been agreed upon.

  • Other Services: File formats are determined by the specific service description.

If additional file formats are needed (such as PDF, SVG, EPS, or other export formats), clients should request them before project completion. Additional fees may apply depending on the requested file type or service.

Unless specifically stated in the service description or purchased separately, editable source files (including but not limited to PSD, AI, AE, PRPROJ, Canva files, or other working files) are not included with any purchase and remain the sole intellectual property of GraphicsbyVana.

Upon full payment and final project completion, the client receives ownership and usage rights to the approved final design files that were purchased. Ownership applies only to the finalized deliverables and does not include preliminary concepts, drafts, working files, unused design variations, or editable source files.

GraphicsbyVana retains ownership of all original working files, design concepts, drafts, layouts, and production files unless otherwise agreed to in writing.

Unless otherwise requested in writing before the project begins, the client grants GraphicsbyVana permission to display completed projects, previews, and final designs on its website, portfolio, social media platforms, marketing materials, advertisements, and promotional content.

Clients are responsible for downloading and safely storing all delivered files. GraphicsbyVana is not responsible for replacing files that are lost after delivery, although every reasonable effort will be made to assist if archived copies are still available.

Graphics by Vana retains all editable project files (including PSD, AI, and other working files) for 7 business days after the final project has been completed, approved, and all final files have been delivered to the client.

Any requested revisions must be submitted within this 7-business-day period. Once the 7 business days have passed, the project will be considered complete and accepted, and all editable working files may be permanently deleted from our system.

After editable files have been deleted, no additional revisions, modifications, or file edits can be made. If a client wishes to make changes after this period, the project will be treated as a new design request and will require a new booking at the current pricing.

Clients are encouraged to carefully review all delivered files upon receipt and notify Graphics by Vana of any requested revisions within the allotted timeframe.

Digital Products:

All digital products sold by GraphicsbyVana, including but not limited to templates, thumbnail packs, branding assets, graphics, design resources, digital downloads, and other downloadable materials, are intended for the purchaser's personal or business use only, unless otherwise stated.

Due to the digital nature of these products, all digital product sales are final. No refunds, exchanges, or cancellations will be issued once a purchase has been completed.

The purchase of a digital product grants the client a non-exclusive, non-transferable license to use the product for its intended purpose. Purchasing a digital product does not transfer copyright or ownership of the product to the client.

Clients may not:

 

  • Resell, redistribute, share, sublicense, or give away any digital product, whether for free or for profit.

  • Claim any GraphicsbyVana digital product as their own work.

  • Upload, publish, or distribute digital products on websites, marketplaces, social media platforms, file-sharing services, or other public or private platforms.

  • Modify a digital product and resell or redistribute it as a new product.

  • Allow third parties to use, download, or access purchased digital products unless expressly permitted in writing by GraphicsbyVana.

GraphicsbyVana retains all copyrights, ownership rights, and intellectual property rights to every digital product sold.

Unauthorized reproduction, distribution, resale, or sharing of any GraphicsbyVana digital product is strictly prohibited and may result in the immediate termination of the license to use the product, legal action, and any other remedies available under applicable copyright and intellectual property laws.

By purchasing any digital product from GraphicsbyVana, the client acknowledges that they have read, understood, and agreed to these Digital Product Terms.
